SciVX / Trust & transparency

Privacy notice

Effective 26 October 2026. This notice explains how SciVX Publishing handles personal information across our publishing website, DataVX, My Research and account services.

01. Who we are

SciVX Publishing is responsible for the personal information described in this notice. For privacy questions or requests, contact info@scivx.com.

This notice covers SciVX services. Journals, publishers, repositories and other websites that you visit through external links have their own privacy practices.

02. Information we use

  • Account information: your email address, name, password hash, verification status and any institution or biography you choose to add. Email verification codes and related security records support registration, sign-in and password recovery.
  • Your research workspace: papers you save, collections, notes, tags, saved searches, alerts and full-text documents you import. These records are associated with your account or guest session.
  • Requests and technical information: search and AI requests, session identifiers, service usage and error records. Network requests include an IP address and browser information; abuse controls may retain an IP-derived hash. AI usage records can include the model, request type, token usage, account identifier and time.
  • Correspondence: information you provide when contacting us or participating in publishing and editorial services.
  • Public research metadata: author names, affiliations, article titles and related bibliographic information obtained from publishers, Crossref, OpenAlex and other cited sources. Contact us about inaccurate personal information in these records.

We obtain information directly from you, from your use of the service and from the public research sources identified above. Please do not include sensitive personal information in research notes, uploads or AI questions unless it is necessary and you are entitled to provide it.

03. Purposes & legal grounds

We use account and workspace information to provide the services you request, authenticate access, maintain your research workspace and communicate about your account. Where EU or UK data protection law applies, this processing is necessary to perform our service relationship or take steps at your request.

We use technical and security information to keep the service reliable, prevent abuse and investigate problems. Where applicable, our legal ground is our legitimate interest in operating and protecting SciVX, balanced against your rights. We may also process information to meet legal obligations and handle legal claims.

Optional browser storage relies on your consent. You may refuse or withdraw it without losing browsing, search or account access. A privacy choice does not subscribe you to marketing or authorize unrelated uses of your information.

04. AI-assisted research

When you request an AI feature, your question and the material needed to answer it can be sent to the AI service configured by SciVX. Depending on the feature and the sources you select, this can include article metadata, abstracts, relevant passages from uploaded full text, or a manuscript title and abstract.

AI responses may be cached to serve repeat requests, and operational usage records support service limits and diagnostics. Model providers process submitted content under their applicable service terms and data handling arrangements. Contact us for information about the provider currently used before sending confidential material.

Cookie consent does not authorize an AI request. You choose when to use these features. AI output is research assistance and may contain errors; it does not make decisions about your legal rights or access to essential services.

05. Cookies & browser storage

Essential storage supports services you request, such as sign-in, workspace sessions and remembering a privacy choice. Optional storage remembers selected DataVX papers between visits. It is disabled by default and is used only after you agree.

Choose Reject optional or Accept optional in the notice, or use the control below to choose and change your preference. Closing the preferences dialog, scrolling or continuing to browse does not grant consent.

Storage & categoryPurposeDuration
scivx_sessionEssential · First-party cookieConnects your account or guest session to your research workspace.Up to 30 days.
scivx_adminEssential · First-party cookieAuthenticates administrators in the publishing console.Up to 12 hours.
scivx_cookie_preferencesEssential · First-party cookieRemembers your privacy choice, including a decision to reject optional storage.180 days.
scivx_admin_userEssential · First-party local storageDisplays the signed-in administrator name. It is not an authentication credential.Until administrator sign-out or browser storage is cleared.
scivx-selectionOptional · First-party local storageRemembers selected DataVX paper IDs between visits, only with your permission.Cleared when you withdraw permission, when the site next detects that your 180-day choice has expired, or when you clear browser storage.

Withdrawing permission removes optional paper-selection storage on this device. Selections can remain in memory for the current page session. Papers deliberately saved to My Research are separate server records. Your preference lasts 180 days, applies to this browser and may need to be set again if you clear its cookies or use another browser.

We do not use advertising or analytics trackers. We do not sell personal information or share it for cross-context behavioral advertising. Global Privacy Control (GPC) signals are recognized; sale and advertising sharing remain off for everyone, including browsers sending a GPC signal. GPC does not prevent you from choosing the optional paper-selection feature.

06. Recipients & international transfers

Service providers supporting hosting, databases, email delivery and requested AI functions may process the information needed for those services. Authorized SciVX personnel may access information to administer the service, provide support or manage publishing activities. Information may also be disclosed when required by law, to protect rights and security, or as part of a legally permitted business transfer.

Opening external publisher links or loading externally hosted content can disclose network information to those providers. This notice does not govern their subsequent processing.

Processing locations depend on the infrastructure and providers used. Where applicable law restricts transfers outside your country, appropriate safeguards or another lawful transfer mechanism are required. Contact us to obtain information about the recipients, locations and safeguards relevant to your data.

07. Retention & security

The table above specifies browser storage durations. Verification codes expire after 10 minutes. Account and workspace records have a separate lifecycle: they are retained to operate your account and preserve the research you save, until you delete supported items or request deletion, subject to applicable legal and security needs. Expiry of a session cookie does not delete server records.

Retention of correspondence, security records and operational AI records depends on their purpose, the time needed to resolve support or abuse issues, and applicable legal requirements. We use these criteria to assess deletion requests and any necessary exceptions. Contact us for the retention details relevant to a particular record.

We use measures including password hashing, access controls and session protections. No online service can promise absolute security. Protect your password and verification codes, and report suspected unauthorized access to our contact address.

08. Your privacy rights

Your rights depend on where you live and which laws apply. Contact info@scivx.com to ask about your information or exercise an applicable right.

  • EU, EEA and UK: you may request access, correction, deletion, restriction or portability of personal data, object to processing based on legitimate interests, and withdraw consent at any time. Withdrawal does not affect the lawfulness of earlier processing. You may complain to your local data protection authority.
  • United States, including California: applicable rights may include knowing and accessing the categories and specific information collected, obtaining a copy, correcting inaccuracies, requesting deletion, and opting out of sale, sharing for targeted advertising or certain profiling. Where provided by law, you may limit certain uses of sensitive information or appeal a decision about a privacy request.
  • Sale and targeted advertising: we do not sell or share personal information for cross-context behavioral advertising and do not use it for targeted advertising. No additional opt-out action is needed for these activities. We recognize GPC as described above.
  • Fair treatment: we do not deny service or discriminate against you for exercising an applicable privacy right. Rejecting optional storage does not restrict core service access.

Describe your request and the account or records involved. We may need to verify your identity or an authorized agent’s authority, using information proportionate to the request. Do not send passwords or verification codes. We will respond within the applicable legal period and explain any lawful exception or refusal. To appeal where available, email the same address with “Privacy appeal” in the subject.
